14th ICRS 2021 VIRTUAL: Information on your presentation

The 14th ICRS 2021 VIRTUAL will take place within our virtual conference platform provided by our partner company Smart Abstract.
We invite every presenting participant to upload their oral presentation as video file or their e-poster presentation as video file or PDF file. After the conference all presentations will be available on demand in the archive for 12 months, i.e. until the 15th ICRS in Bremen starts.

The upload link will be sent to you via e-mail by Smart Abstract in the beginning of May.

Guidelines for oral presentations

Oral presentations should be prepared and submitted until June 28, 2021 (extended deadline!).

We give each oral presentation at the 14th ICRS 2021 VIRTUAL a 15 min slot. That means that the oral presentation should be timed for 12 min (rule of thumb: 1 slide per minute)so that the remaining 3 min can be used for questions from the audience and related answers before the next speaker can start in time. If the oral presentation takes longer than 12 min, then less time for questions and answers is possible since it is very important to meet the schedule.
We know that this strict timing is sometimes difficult to achieve at in-person events. At the 14th ICRS 2021 VIRTUAL, this is now clearly easier to achieve since oral presentations are prepared and recorded in advance. The presentations are then technically checked and improved by our partner Smart Abstract, before they are uploaded on the conference platform.

How to create your oral video presentations?
The following download provides instructions on how to create a video presentation of your talk directly with PowerPoint and additionally with the web tool Loom or other tools.

Further options are screen recording functions brought by QuickTime Player or VLC media player. Feel free to use any tool suitable for you.
Most important is to keep the file specifications in mind, regardless of the tool you use.

Specifications for oral video presentation

  • Max. time for presentation is 12 min (plus 3 min discussion)
  • Full HD – 1080p, large file size and full high quality (1920 x 1080)
  • Aspect ratio 16:9
  • Common video formats are supported (preferred: *.mov / *.mp4)
  • There is no data limit for file upload

The streaming of the event will take place in 16:9 picture format and with full HD resolution. Optimal quality will be achieved if your presentation video is also available in this format. Contributions that are available in a lower resolution or are not in 16:9 format will still be accepted and broadcast as they are.

Guidelines for e-poster presentations

Posters should be prepared and submitted until June 28, 2021 (extended deadline!).

Please upload your e-poster as pdf file. This can be supported by a 3 min speed talk/video as recorded presentation (MP4 format). If you prefer not to produce a speed talk or video, we highly recommend that you integrate a portrait photo of yourself in the poster.

Specifications for e-poster as pdf file
Pleasehand in your e-poster as a PDF-file. You can save a PowerPoint file as a PDF file directly within the program by changing the file type to PDF during the saving process.
We recommend landscape format. You are free to use the following Power Point template:

Please, prepare your e-poster on one page

  • The recommended size is 16:9 (103.86 cm x 58.42 cm / 40.97 in x 23.04 in)
  • The recommended font size is 28pt and 24pt for references.
  • Possible fonts are Arial, Calibri or Times New Roman.
    Please take care that text and background are contrasting each other.
  • Embedded pictures should be JPEG or PNGfiles and have a resolution of 72 or 96 dpi.

Good scientific practice: Please be especially careful with your citation and references in your e-poster. Make sure you have a complete list of all your references at the end of your e-poster.
